ROLE:

The Human Resources Assistant is responsible for supporting the Human Resources Department a variety of personnel-related administrative tasks, including, but not limited to, recruitment and selection, compensation and benefits administration, updating the HRIS database, human resources documentation and HR data analysis. The HR Assistant collects performance evaluation data, responds to employee inquiries, and assists in onboarding new staff. This individual also assists in developing HR initiatives, programs and policies, and company team building programs. They ensure all HR policies are administered in a manner consistent with King’s Pastry procedures and standards.

The HR Assistant position will require excellent organizational skills and the ability to handle sensitive information confidentially.

In addition, this position is responsible for some clerical duties from Marketing& Sales departments.

Main Job Responsibilities:

  • Coordinate the full cycle recruitment, ensuring onboarding of new and re-hire employees’ compliance documentation
  • Maintain human resource databases, computer software systems, and manual filing systems.
  • Responsible for all aspects of the administration of employee benefits, including enrolling, answering benefit inquiries from employees, and resolving issues regarding employee benefit coverage.
  • Bi-weekly reconciling external employees work hours and agency billing statements to ensure accuracy of work hour and overtime hours.
  • Addressing to internal and external employee inquiries or requests and aid.
  • Provide research and prepare HR training related materials and coordinate training presentations.
  • Organize and host various company events and team building activities.
  • Assist in administering and recording employee recognition and incentive programs documentations.
  • Organize employee performance evaluation documentations and improvement tracking systems.
  • Prepare and handle all paperwork relating to disciplinary and/or corrective action.
  • Coordinate with HR department to oversee and ensure company is following and enforcing all Workplace Safety Acts and adhering to all local, provincial and federal Employment Standards at all times.
  • Provide administrative support to the HR Team on various tasks, as required.

Additional Responsibilities:

  • Coordinate with sales team and external marketing firms for the preparation of any marketing needs (i.e., marketing materials, food show preparations, etc.)
  • Working with external marketing vendors on the design of new retail labels or marketing materials (knowledge of graphics design would be an asset, but not required)
  • Fulfill admin duties from sales/marketing or other teams.

Skills and Requirements

Requirements:

  • Bachelor / Post-Secondary Degree/ Diploma required, an HR-related field would be an asset
  • Strong ethics regarding privacy, confidentiality, and protecting the interests of the company
  • Minimum 1+ year of administrative experience
  • Knowledge of graphic design would be an asset
  • Excellent business communication and interpersonal skills with a high degree of professionalism
  • Proficient in using MS Office (Microsoft Excel, Word, PowerPoint, Outlook)
  • Knowledge in using Adobe Photoshop and social media app would be an asset
  • Strong problem-solving and organizational skills
  • Excellent attention to detail
  • Ability to work independently and under minimal supervision
  • Self-directed and self-motivated
  • Ability to manage multiple projects and priorities
  • Proficient verbal and written communication abilities in both English and Mandarin
  • Proficient in typing in English and Chinese
